About the Organizer
This event is organized by the "IVS KYOTO Executive Committee," which consists of Kyoto Prefecture, Kyoto City, and Headline Japan Inc. (hereinafter referred to as "the Organizer").
Application for Participation
1. If the Organizer determines that false information has been provided in the application, unauthorized access to the website has occurred, an email address has been misused, or there has been a violation of these terms, the Organizer may invalidate the application for participation in the event.
2. The Organizer shall not be liable for any damages incurred by the applicant as a result of the application being invalidated.
3. The Organizer and any ticket sales company entrusted with ticketing services shall not be held responsible for any damages resulting from communication service failures, unauthorized access by third parties, or any other reasons not attributable to the Organizer.
4. Returns and cancellations are not permitted except in cases where the Organizer is responsible.
Changes and Cancellation of the Event
1. The Organizer may change the contents of these terms, event details, speakers, schedule, etc., without prior notice. Notifications of changes will be made through the Organizer's website, the official event website, or SNS channels.
2. In the event of cancellation due to force majeure, notifications will be made using the same methods.
Copyright and Media Usage
1. The copyright of the provided materials and presentation content belongs to the Organizer or third parties authorized by the Organizer. Unauthorized commercial use or reuse of session content and event plans is prohibited.
2. Participants are permitted to record, film, and take photos for personal use, except where prohibited for specific sessions. The event venue may be recorded for reporting, promotional, and distribution purposes. Unauthorized media coverage is prohibited.
3. Participants may be interviewed, recorded, or photographed by the Organizer or authorized third parties but will not be forced to do so without their consent.
4. Participants grant the Organizer or authorized third parties the right to use and publish event-related photos, videos, and articles in newspapers, magazines, books, television, radio, and the internet, including for advertising purposes, free of charge.
5. Participants acknowledge that their full or partial likeness may appear in event photos or videos and consent to the use of such media by the Organizer or authorized third parties.
Participant Interaction and Information Usage
1. The Organizer will handle participants' personal information in accordance with the event’s Privacy Policy.
2. To facilitate participant interaction, personal information (name, company name, department, title) may be shared with prior consent. Such handling will comply with the event’s Privacy Policy.
3. The Organizer may provide participants' personal information (such as name and email address) to sponsoring companies. Prior consent will be obtained, and participants will have the option to withdraw consent at any time.
4. In the case of proxy registration, it is assumed that the participant's consent has been obtained.
Code of Conduct and Prohibited Actions
1. Participants must respect each other's dignity and adhere to ethical behavior.
2. The following actions are prohibited: harassment of the Organizer or participants, solicitation for religious groups, election campaigning, discriminatory speech or actions, defamation, invasion of privacy, violations of laws or public morals, smoking outside designated areas, refusal to comply with infectious disease prevention measures, excessive sales pitches, and any other actions deemed inappropriate by the Organizer.
3. If the Organizer reasonably determines that a participant has violated these terms, they may be removed from the event without a refund.
Disputes Between Participants
Any disputes or conflicts arising between participants shall be resolved among them, and the Organizer assumes no responsibility.
Side Events
The Organizer does not guarantee the content, quality, or participation of events hosted by other organizations that are held in conjunction with this event. The Organizer is not liable for any issues arising from such events.
Disclaimer
The Organizer shall not be held responsible for any injuries, illnesses, losses, thefts, or other incidents occurring during the event unless due to the Organizer’s intentional or gross negligence.
Event Suspension or Cancellation
The Organizer may suspend or cancel the event in cases of natural disasters, social upheaval, or other circumstances that make hosting the event unfeasible.
Changes to Terms and Notifications
If these terms are changed, notifications will be sent via email and published on the event website.
Dispute Resolution
These terms and any disputes related to this event shall be governed by Japanese law, and the Tokyo District Court shall have exclusive jurisdiction as the court of first instance.
