IVS Privacy Policy

Headline Japan Inc. (hereinafter referred to as "we" or "our company") recognizes the importance of protecting our customers' personal information. We comply with the Personal Information Protection Law (hereinafter referred to as "Personal Information Protection Law") and strive to handle and protect personal information appropriately in accordance with the following privacy policy (hereinafter referred to as "this Privacy Policy").

In this Privacy Policy, personal information refers to the definition provided in Article 2, Paragraph 1 of the Personal Information Protection Law, i.e., information about a living individual that can identify a specific person by name, date of birth, or other descriptions contained in the information (including information that can be easily cross-referenced with other data to identify a specific individual).

We collect personal information by lawful and fair means for purposes such as event registration, management, and support, responding to inquiries, distributing newsletters and event information, statistical use for event operation support, service improvement and customization, and compliance with legal obligations. In the case of proxy registration, it is assumed that the participant's consent has been obtained.

We do not handle personal information beyond the necessary scope to achieve the purposes of use without obtaining consent from the individual. However, exceptions apply in the following cases:

・When required by law
・When necessary to protect life, body, or property
・When particularly necessary for public health improvement or the sound upbringing of children
・When necessary to cooperate with national or local government agencies in executing legal duties

The sharing of information for networking among participants in this event is conducted through the ticketing system provided by a company with which IVS has a business outsourcing contract. Participants agree to the privacy policy of the respective ticketing system company at the time of ticket purchase.

We recognize that users have the right to access, correct, delete, and restrict the processing of their personal information. To exercise these rights, please contact us using the contact information provided in Section 8.

Participant information (including name and company name (department and title)) may be shared to facilitate networking with sponsor companies.

・Email addresses will only be shared if the participant has explicitly consented.
・If a participant provides explicit consent, their email address and other relevant contact details may be shared with sponsor companies.
・If the participant has not provided explicit consent, any required communication from sponsor companies will be facilitated by IVS organizers, and direct contact details will not be provided to sponsors.

Session participation data and exhibitor booth visit data (log data) may also be used for event operations and to support interactions with sponsor companies.

・By default, only name and company name (department and title) will be provided, and email addresses will not be shared with sponsor companies.
・However, if the participant has explicitly consented, their email address and other relevant contact details may also be shared.

Participants may opt-out of providing their information to sponsor companies before or during the event.

・To opt out, please send a request using the following method:
　・Email application: Send an email to the event office (ivs-office@infinityventures.com) stating your request to opt out.

・We will make reasonable efforts to promptly stop sharing your information upon request.

・If an opt-out request is made in advance, no information will be provided to sponsor companies during or after the event.
・However, if information has already been shared before the request, further handling will be based on the sponsor companies' privacy policies.

・Types of information provided: Name, company name (department and title) (Email addresses and other contact details will only be provided if explicit consent is given)
・Method of provision: Participant list (default includes only name and company name) shared with sponsor companies
・Purpose of provision: Networking with sponsor companies, information sharing, and business opportunities
・Procedure for refusing provision: Refer to the "Opt-Out" section above.

We implement appropriate security measures to prevent leaks, loss, or alteration of collected personal information. When outsourcing the handling of personal information, we require appropriate management from subcontractors.

This Privacy Policy may be revised as necessary. The updated policy will be published on the event website, which will serve as notification to users.

Refunds for cancellations after purchase are not available. Please be aware of this before completing your registration. However, in the event that the organizers are unable to accommodate your participation, a full refund will be issued.
